How to Remove Duplicate Emails in Outlook (3 Ways)

From Outlook's built-in cleanup tool to exporting and cleaning a list entirely outside Outlook.

1. Outlook's built-in Clean Up tool

Outlook has a native feature that removes redundant messages within a conversation thread — useful when duplicate messages come from reply chains rather than a genuine data-entry duplicate.

  1. Select the folder or conversation you want to clean.
  2. Go to the Home tab and click Clean Up.
  3. Choose Clean Up Conversation, Clean Up Folder, or Clean Up Folder & Subfolders depending on scope.
  4. Outlook moves redundant messages to Deleted Items — nothing is permanently removed until you empty that folder.

This only catches duplicate messages within reply threads. It won't catch a contact or address that appears twice in an unrelated way — for that, see method 3.

2. Manual sort-and-delete

For a smaller mailbox, sorting manually is often faster than any tool:

  1. Switch to a view sorted by Subject, then by Date — identical subjects and near-identical timestamps usually indicate duplicates.
  2. Enable Conversation view (View tab) to group related messages automatically.
  3. Manually delete the redundant copies once grouped.

3. Export and clean outside Outlook

If what you actually have is a list of email addresses with duplicates — a contact list, a newsletter export, a CSV of leads — rather than duplicate messages in your inbox, this is usually the faster and more reliable path:

  1. Export the contacts or address list from Outlook to a CSV file (File → Open & Export → Import/Export → Export to a file).
  2. Paste or upload that list into a list cleaner — it collapses duplicates automatically, including near-duplicates like Gmail's dot and +tag variations that Outlook's own tools don't catch.
  3. Re-import the cleaned list back into Outlook, or use it directly wherever you needed it.
If you're working with a list of addresses rather than inbox messages, a free list cleaner handles duplicate collapsing, typo detection, and disposable-address filtering in one pass — entirely in your browser, nothing uploaded.

Which method should you use?

If the duplicates are messages in your inbox from reply threads, use Outlook's Clean Up tool — it's built for exactly that. If what you're actually dealing with is a list of email addresses that need deduplicating before you send to them, export and use a dedicated list cleaner instead — Outlook's own tools aren't built for that kind of duplicate.

Frequently asked questions

Does Outlook's Clean Up tool delete messages permanently?

No. Clean Up moves redundant messages to Deleted Items — nothing is permanently removed until you empty that folder.

Will Clean Up catch duplicate contacts or addresses?

No — it only removes redundant messages within reply threads. For duplicate email addresses in a contact list, export to CSV and use a dedicated list cleaner instead.

Why does a list cleaner catch more duplicates than Outlook's export tools?

A dedicated list cleaner collapses near-duplicates Outlook's own tools miss, such as Gmail's dot and +tag address variations, not just exact matches.
